Description
The Office Assistant - Nursing is responsible for providing clerical support to the Nursing Department at Saint Scholastica Convent. 


Essential Specific Job Duties
 
Meets regularly with the Home Care Coordinator to review previous work performed and to prioritize current tasks.

Provides clerical and general office support utilizing Microsoft Office Suite (typing, filing, copying, databases, internet, email, etc.) for the Nursing Department.


Performs all duties according to timelines and prioritizes work accordingly.

Maintains strict confidentiality of all Nursing Department and Sister information.

Prepares and maintains nurse and nursing assistant work schedules.

Contacts department employees as needed to fill shifts utilizing phone, email and text.

Maintains documentation of Nursing Assistant’s time off.

Prepares employee Job Performance Appraisal forms for supervisor plus maintains Job Performance Appraisal schedule.

Prepares supervisor monitoring forms as required through the Minnesota Department of Health to monitor nursing department employees.

Prepares paperwork for and maintains orientation and education records.

Tracks nursing employee licenses, registrations, and employee reports.

Types department policies/procedures using approved format and maintaining Nursing Department Operations Manual.

Edits nursing assistant time cards to be approved by supervisor.

Develops and updates department forms.

Inputs new policies into Residex program.

Prepares supply orders and tracks supply inventory for budget purposes.

Types Quality Improvement reports.

Prepares Missing Person Forms upon Sister admission.

Assists with medical record filing and storage organization as directed.

Maintains assigned Nursing Department database and filing system including print and electronic records.

Takes ownership of areas of responsibility and initiates improvement.

Serves as a positive role model for the organization by utilizing effective communication and encouraging teamwork through collaborative and cooperative interactions with all employees, departments and administration.

Follows and supports all policies and procedures as established by the Sisters of the Order of Saint Benedict.
